商用書信收件對像不外是企業顧客、經銷商、配銷商、供應商等合作夥伴,此外也可能是公司同事或者是一般消費者。所以,在準備或撰寫商用書信時,想看看如果你是收信者,你期待收到什麼樣的信件內容?交辦事項都詳列清楚或解決了嗎?要傳遞的訊息明確表達了嗎?信件格式正確嗎?設身處地為對方著想時,企業要建立起良好的顧客關係就輕而易舉!

商用書信撰寫準則

Heading - give your letter a heading which will make it easier for the reader to understand your purpose in writing.
下標題:在書信起始時,下一簡潔標題,例如:報價,以表示去函目的或緣由,讓對方在最短的時間內就可以一目瞭然來信目的。

Plan ahead - decide what you are going to say before you start to write a letter. Because if you don’t do this, the sentences are likely to go on and on until you can think of a good way to finish.
計劃書寫內容:書寫信函時先草擬大綱,列出去函目的與交辦事項,哪些重點該提,哪些內容可以省略。事前擬稿可避免龐雜無章的內容。

Short sentence, short words - use short sentences and short words that everyone can understand.
儘量使用簡潔有利的句子與單詞,讓對方可以很快瞭解來意。

Number each paragraph - put each separate idea in a separate paragraph. Number each of the paragraphs which will help the reader to understand better.
段落分明:商用書信忌不分段落,將所有想表達的內容一股腦兒宣洩。建議為了讓讀者更瞭解書信內涵,不同主題必須分段闡述。

Think about your reader
書信內容與出發點永遠以客為尊,時時奉「顧客至上」為圭臬。

撰寫書信時,需注意內容是否符合下列5Cs:

CLEAR(清晰) > your reader can see exactly what you mean.
意思表達需明確。

COMPLETE(完整) > make sure all the necessary information is included.
一封商業信函內容必需完整,如:邀請函應詳細說明時間、地點等。

CONCISE(簡潔)> your customer is probably a busy businessman with no time to waste.
想看看:或許你的客戶是一位忙碌的生意人,他的寶貴時間是不容恣意浪費的。所以,一封簡潔易懂的書信,對他而言就益顯重要。

(1)簡潔語句的運用

We wish to acknowledge the receipt of your letter…
可簡潔為:We appreciate your letter…(我們感激您的來函…)
Enclosed herewith please find two copies of…
可簡潔為:We enclosed two copies of…或Please find enclosed two copies of…(隨函附上兩
份…)

(2)短句或單詞的運用

Enclosed herewith —–> enclosed
at this time —–> now
due to the fact that —–> because
a draft in the amount of $2,000 —–> a draft of $2,000
